Schedule jobs and plan the day

Book work and site visits on the calendar, drag unscheduled jobs into slots, and plan each day as a route on the dispatch board.

Updated

The Schedule is your calendar for jobs, estimate visits and anything else your team needs to be at. The Dispatch board shows a single day as a route.

Put a job on the calendar

  1. Go to Schedule and choose Day or Week.
  2. Find the job in the Unscheduled list on the right.
  3. Drag it onto a time slot. It's booked for two hours from that time — to change the length, open the job and choose Edit job from the ⋯ menu.
  4. On a phone or tablet — or if you'd rather not drag — click the job's Schedule button instead, choose the Start, Duration and Crew, and click Schedule job.

Book a site visit or another appointment

  1. Click Schedule at the top of the page, or click an empty slot in Day or Week view.
  2. Give it a Title, choose the Customer and the Type: Estimate visit, Job, Inspection or Internal.
  3. Set the Start, Duration and Crew, tick Who is going?, add any Notes and click Schedule.

If it overlaps work already booked for the same people, Recoatly warns you and lets you Schedule anyway.

Appointments booked this way are calendar entries only. For paid work you want to track and invoice, create a job — see Turn an estimate into a job.

Plan the day on the dispatch board

  1. Go to Dispatch board and choose the date and, if you like, a crew.
  2. The Run sheet lists the day's stops in time order, with the address and who's going. The Route map plots every stop that has a map location; stops without one are marked "no pin".
  3. With three or more stops on the map, click Optimize order. Recoatly tells you how many minutes of driving a new order saves and asks before it changes any appointment times.

Good to know

  • Click a job on the calendar to see its details, get Directions, open it, or Unschedule it. Unscheduling sends the job back to Unscheduled; nothing else changes.
  • Use the All crews menu to see one crew's calendar.
  • The Appointment reminder the day before automation emails customers about scheduled jobs. It isn't sent for jobs booked less than two hours ahead.
  • Team members' days off appear in the Time off panel.
