Import customers from a spreadsheet
Bring your customer list over from a spreadsheet or another system as a CSV file. Recoatly matches the columns for you.
Updated
Moving from another system or a spreadsheet? Export your customer list as a CSV file and import it in one go. Recoatly recognizes the column names used by Jobber, Housecall Pro, QuickBooks, Google Contacts and most spreadsheets, so most files import without any manual matching.
Import your list
- Go to Customers and click Import.
- Choose your CSV file, or paste the rows into the box with the column names in the first row. Not sure how to lay it out? Click Download a template.
- Under Match your columns, check the Recoatly field chosen for each of your columns — a sample value from your file is shown next to each one. Change any that are wrong, or choose Don’t import to leave a column out.
- Under These people are, choose Customers I have worked for or Leads I have not worked for yet.
- Check the summary of how many people were found and how many columns are matched, then click Import.
When it's done, Recoatly tells you how many people were added, how many were already here, and which rows it skipped and why.
What you can import
- A full name, or first and last name, and a company name
- Email, phone and another phone number
- Street address, apartment or unit, city, state or province, ZIP or postcode, and country
- Lead source, residential or commercial, stage, tags and notes
Good to know
- Each person needs a name, a company or an email address. Rows with none of these, or with an email that isn't valid, are skipped and listed when the import finishes.
- People whose email is already in Recoatly are left as they were, and if an email appears twice in your file only the first row is imported. So it's safe to import an updated list again.
- A full name such as "Jane Doe" or "Doe, Jane" is split into first and last name. Names ending in Inc, LLC, Ltd and the like are treated as a company, and rows with a company but no person's name import as commercial.
- If a stage column says lead, qualified, customer, inactive or lost, that's used. Everyone else gets the choice you made under These people are.
- That choice matters for marketing: customers you've worked for can get your marketing emails, while leads can only once they agree.
- Tags can be separated by commas or semicolons, up to 10 per person. New tags and lead sources are created for you.
- Cells with commas, quotes or line breaks are fine in a properly exported CSV, and files separated by semicolons or tabs work too.
- You can import up to 5,000 people at a time, from a file under 6 MB. Split bigger lists into several files.
- Recoatly looks up map locations for the imported addresses in the background, for the dispatch board.
- Importing doesn't trigger any automations, so nobody on your list gets an email just because you imported them.
- To download your list again, click Export on the Customers page (if your role allows exports).
- Once your customers are in, follow new leads on the pipeline. See Track leads and enquiries on the pipeline.
