Add customers and leads
Create a customer record with contact details, a service address, tags and notes, and follow them from lead to customer.
Updated
Every estimate, job and invoice belongs to a customer record. Leads and customers live in the same list — a lead is simply someone who hasn't bought from you yet.
Add a customer
- Go to Customers and click New customer. (Or click Create at the top and choose New customer or lead.)
- Choose the Type — Residential or Commercial — and the Stage: Lead, Qualified, Customer, Inactive or Lost.
- Enter a first and last name, a company name, or both.
- Add their Email and Phone. Recoatly needs an email address to send this customer estimates, invoices and reminders.
- Fill in the Service address so jobs can be scheduled and mapped.
- If you like, pick a Lead source, add Tags (separated by commas) and write Internal notes that only your team sees.
- Under Marketing permission, tick Agreed to marketing emails only if they've said yes — in person, by phone or in writing.
- Click Create customer.
On the customer's page
- Timeline: type a note — or log a call or an email — and click Add. Sent estimates, status changes and payments are added for you.
- Addresses: click + to add another address. Add a Gate code and Access notes, and your crew sees them on the job.
- The Estimate, Job and Invoice buttons at the top start new paperwork for this customer.
- The ⋯ button lets you edit details, Convert to customer, copy the customer portal link or delete the record.
Good to know
- When a lead approves an estimate online, they move to Customer automatically.
- Typing a new name into the customer box on an estimate or job and choosing Create adds them as a lead on the spot. Add their email from their page afterwards.
- The Details panel shows whether you can send someone marketing emails — for example "Allowed as a customer", "Agreed", "Unsubscribed" or "Email bounced".
- Tick Do not contact when you edit someone, and your campaigns and automations leave them out. Messages you send them yourself still go out.
- Deleting a customer who has jobs or invoices archives them instead, so your records stay complete.
