Set up your price book
Add the services you sell with a price, a cost and a unit, so estimates and invoices take seconds to build.
Updated
Your price book is the list of everything you sell. Each service has a price per unit — per square foot, per window, per hour, per visit, or a flat price per job — and what it costs you, so Recoatly can show your margin on every estimate.
New accounts start with a price book for the trade chosen at sign-up. Those prices are starting points, not advice: change them to match what you charge.
Add or edit a service
- Go to Price book and click New service, or click a service to edit it.
- Enter a Name and, if you like, a short Code.
- Write the Description shown to the customer: what's included and what they can expect.
- Choose a Category and what the service is Priced by — the unit.
- Enter the Price per unit, Your cost and, if you have one, a Minimum charge. The margin updates as you type.
- Set the Typical duration (min) and Crew size. Untick the tax box if the service is exempt.
- Click Add service (or Save changes).
Tools
- Tools → Add a category creates a new group for your services.
- Tools → Adjust all prices raises or lowers every active service by a percentage — handy for a yearly price increase. Costs stay the same, and estimates and invoices you've already written keep their prices.
- Export downloads your price book as a spreadsheet.
Good to know
- Your price book feeds your website and instant quote, so a price change shows up there as soon as you save it.
- The minimum charge is applied when a customer prices a job with your instant quote. When you add a service to an estimate yourself, the line is simply quantity × price, so check small jobs against your minimum.
- Deleting a service that's on existing estimates or invoices marks it Inactive instead, so old paperwork still reads correctly. Inactive services don't show up when you build new estimates.
- Your cost should include labor and materials. Customers never see it.
