Set up crews, working hours and timesheets
Group people into crews, set when each person works, and review, approve and export the time they log on jobs.
Updated
Crews make scheduling faster, working hours keep bookings realistic, and timesheets turn the time logged on jobs into hours you can pay.
Crews
- Go to Team and open the Crews tab. Your account starts with one crew, Crew A.
- Click Add a crew, or the pencil on an existing crew.
- Enter a Crew name, choose a Colour, add the Vehicle if you like, and tick the Members.
- Click Save crew.
Choose a crew when you create a job, and filter the Schedule and the Dispatch board by crew.
Working hours
- On the Team page, click a person and then Availability.
- Tick the days they work, set the start and end times, and click Save.
If you don't set hours, Recoatly assumes 8 AM to 5 PM on weekdays.
Timesheets
- Time is logged when someone clicks Start job or Clock in on a job, and stops when they click Clock out or complete the job.
- Go to Team → Timesheets to see the last two weeks: hours by person and every entry.
- Tick the entries you've checked and click Approve selected.
- Click Export for a spreadsheet you can hand to payroll.
Good to know
- Someone forgot to clock in? On the job's Costs & billing tab, click Add entry under Time logged. You need a role that can approve timesheets.
- Labor cost uses each person's hourly rate, so set rates when you edit people on the Team page.
- Only people marked Can be scheduled on jobs appear in crew lists and on job assignments.
